Draw a simple handoff map using a real review: who first notices the ad, who checks the partner relationship, who decides whether to contact anyone and who follows up. Beside each step, record the system used and the person responsible. That map often reveals requirements that a feature checklist misses.

Ask for an operational sample, including an exception
Give every vendor a fictional brand with an approved retailer in one market and an unclassified domain in another. Include a mobile search and a desktop search. Ask for an observation-level review and a sample of whatever output your team would receive. Review the material outside the demo to see whether it remains understandable.
Then change one fact: the retailer has permission for a particular promotion. Ask how the workflow records that permission and prevents the team from repeatedly reopening the same question. This is a requested test, not a claim that any vendor implements a particular exception system. If the work happens outside the application, assign it a home in your process.
Include a holiday or staff absence in the operating discussion. The task owner may be unavailable when a vendor sends a finding. Agree who covers that queue and which situations can wait. A notification has little operational value if its recipient is away and the review process has no substitute owner.
Make the contract answer the remaining questions
Name the covered engines, locations and devices. Ask for the observation schedule and the handling of unsuccessful checks.
Identify any research, external contact or follow-up performed by a vendor employee and whether it costs extra.
Specify the approval required before an external message or complaint is sent.
Confirm export and retention arrangements for open reviews at the end of the agreement.
Budget for your own reviewer time alongside the software proposal. A lower amount of vendor assistance can be acceptable if your team has capacity and wants that responsibility. Record the choice explicitly, then use the handoff map to train the people who will inherit the work.
