How to compare brand-monitoring pricing using the coverage you need

Turn keywords, locations, devices and cadence into a consistent buying brief, then compare quotes without guessing vendor prices.

Two monitoring quotes can list the same number of keywords and buy very different coverage. One may include several locations and frequent checks. Another may charge for each combination or place advanced investigation in a separate module. Compare the proposed work before comparing the monthly total. You need a configuration that a vendor can price and your team can later verify.

Define one planned collection unit

Start with the query, search engine, named location and device. In Ads Lighthouse, one combination of those dimensions counts as a check. Other vendors may use different billing units. Ask them to map your requested configuration into their units explicitly, including any language or operating-system distinction that changes the quote.

For an illustrative planning example, take 20 keywords, one engine, three locations and two devices. That is 120 combinations for one full pass. Four passes per day would schedule 480 checks daily, or 14,400 over a 30-day planning period. These are arithmetic examples, not claims about the plan allowances or prices of any vendor.

The multiplication only works when every keyword uses every location and device. If your coverage differs by group, calculate each group separately and add the totals. A brand's UK keywords may not belong in its Spanish locations. A precise configuration avoids paying for combinations that have no purpose and makes later usage easier to explain.

Send a normal month and a busy month

Your normal-month brief should name the brands, domains, query groups and collection cadence. The busy-month brief should show the additional markets or checks you would need for a promotion. Ask for the cost of moving between them and whether the change affects a contract minimum. Keep manual investigations separate so an analyst can estimate how much unplanned work the allowance can absorb.

  • State whether extra checks stop at a hard limit, wait for the next period or create an additional charge.

  • Ask how unsuccessful checks and retries affect usage, including situations where collection is delayed.

  • Confirm whether saved-result browsing and exports consume collection allowance or have separate limits.

  • Record the contract period, currency, taxes and any onboarding or service fees shown in the quote.

Separate collection from extra services

The Search Monitor's public product list distinguishes brand protection, affiliate compliance and SEM insights. Use that as a reminder to ask every vendor which products your quote includes. A broad demonstration may cover work that is absent from the package you are considering.

Create separate lines for collection, investigation tools, notification delivery and managed work where applicable. Ask who performs each service and what the team must still do itself. If a quote includes help submitting a complaint, define the approval process and responsibility. If your team only needs observations for a weekly review, do not automatically add a service because it appeared in the demonstration.

Include the time your own team will spend

During the trial, measure how long an analyst needs to retrieve a result, investigate the advertiser and prepare a review note. Use a small set of representative cases, including one that remains unresolved. Record the actual time instead of inventing a productivity saving. A lower subscription can still be a good choice, but the decision should include the recurring work it leaves with your team.

Also account for configuration maintenance. Someone will update own domains, retire old queries and confirm retailer relationships. Ask whether the vendor offers support for that work and whether it is included. If the process relies on a particular colleague's memory, document it during the trial so the evaluation reflects a repeatable operation.

Keep the comparison attached to the configuration

Store each quote with its coverage version and date. When a vendor changes the proposal, preserve the old version and record what changed. At renewal, compare the coverage actually used with the brief you purchased. This gives procurement a concrete explanation for a higher or lower cost and helps the SEM team identify unused scope.
